Institut Aminuddin Baki (IAB), under the Ministry of Education Malaysia, faces significant operational challenges in managing professional development and course attendance tracking for staff across multiple course categories including internal courses, external courses, short-term courses, and annual training programs. The primary problems identified include staff struggling to manually track courses attended across fragmented systems, certificates and attendance documents being scattered and easily lost, and the absence of a centralized system for monthly and yearly course attendance reporting, which compromises administrative efficiency and accountability. To address these challenges, IAB has developed the IAB CourseTrack Application, a comprehensive mobile-based solution designed to streamline professional development tracking and course attendance management. The application is guided by three principal objectives: to provide a centralized mobile system for tracking course attendance across all four official course categories, to digitize and securely store certificates and official documents directly within the application, and to enable staff members and administrators to easily monitor monthly and yearly participation rates for reporting and compliance purposes. The development follows a systematic five-stage methodology encompassing requirement analysis, UI/UX design using Flutter technology, backend development utilizing FastAPI and Supabase, testing with real course data, and deployment with staff training. The application incorporates innovative features including a calendar-based course entry system, direct uploading of certificates and official documents, a comprehensive dashboard with visual analytics, secure login with individual staff member access, and encrypted data storage. Implementation is expected to generate multiple tangible benefits such as enabling staff to track professional development progress instantaneously, significantly reducing administrative burden of managing lost documents, simplifying compliance reporting through automated data compilation, allowing real-time data logging from any location, and improving organizational visibility into professional development activities. The successful implementation of the IAB CourseTrack Application is anticipated to establish a modern, technology-enabled approach to professional development management within IAB, transforming manual processes into an efficient digital ecosystem that enhances accuracy and accountability in staff professional development records while establishing a single authoritative source of truth for all course attendance data across different categories, ultimately supporting strategic human resource planning and professional development strategy refinement.
